IDAnytime operates this website, online store and associated services (the “Services”).

The Services are provided through Shopify. Shopify provides the ecommerce platform used to operate our storefront, and Shopify Payments is used to process payments.

This Privacy Policy explains how IDAnytime collects, uses, stores and protects personal information in connection with the Services.

The information contained within an IDAnytime profile is determined by the information provided by the customer.

Depending on the type of profile being created, this may include information relating to a child, dementia, medical information, pets, riders, luggage or lost property.

You should only provide information that is appropriate and necessary for the intended purpose of the profile.

2. How We Collect Information

We collect information directly from you when you:

• Create an account.

• Place an order.

• Complete a profile.

• Update a profile.

• Contact us.

• Use our website or Services.

We may also receive information through Shopify where necessary to operate our storefront and process your order or payment.

3. How We Use Your Information

We use your information to:

• Create and maintain your IDAnytime profile.

• Provide access to your profile through the associated NFC tag.

• Process and fulfil your order.

• Process payments through Shopify Payments.

• Deliver your NFC tag.

• Provide customer support.

• Process profile changes and updates.

• Verify profile-change requests.

• Communicate with you regarding your profile and licence.

• Send one email 30 days before your profile expires notifying you that your licence period is approaching its expiry.

• Send one notification on the day after your profile expires notifying you that the profile is scheduled for deletion.

• Reactivate profiles where requested and where the profile remains available for reactivation.

• Maintain the security and functionality of the Services.

• Prevent fraud, misuse or unlawful activity.

• Comply with legal obligations.

We do not sell your personal information.

4. Profile Changes

You can request changes to your profile in either of two ways.

You may log into your IDAnytime account through the storefront and complete the relevant profile update form.

Alternatively, you may use our contact form to request a change.

When requesting a profile change through the contact form, you must provide:

• Your profile ID.

• Your assigned PIN number.

• The email address used to create your account.

These details are used to help verify that the request is authorised.

For security reasons, we may not make changes where we cannot reasonably verify the request.

5. Profile Licence Period, Expiry and Deletion

An IDAnytime profile is provided for the licence period selected and paid for when purchasing the product.

Available licence periods may include 1 year, 3 years or 5 years, depending on the options offered at the time of purchase.

The associated NFC tag is supplied with the profile.

30 days before the expiry of your licence period, we will send one email notifying you that your profile is due to expire.

If the licence period expires without reactivation, the profile will become expired.

On the day after expiry, we will send one notification informing you that your profile is scheduled for deletion.

You may reactivate an expired profile by paying the applicable licence fee, provided the profile has not yet been deleted.

Once the applicable deletion point is reached, the profile and associated profile information will be deleted, subject to information that IDAnytime is required or permitted by law to retain.

6. Shopify and Shopify Payments

Our online store is operated using Shopify.

Shopify processes information necessary to provide the ecommerce platform and related services used to operate our store.

Payments are processed using Shopify Payments. Information necessary to process payments, prevent fraud, comply with legal requirements and provide payment services may therefore be processed by Shopify and relevant payment-service providers.

IDAnytime does not independently sell your personal information or provide your personal information to third parties for their own marketing purposes.

Shopify may process information through its own affiliated companies, service providers and subprocessors as necessary to provide its services.

7. Sharing of Information

We do not sell personal information.

We do not provide customer or profile information to third parties for their own independent marketing purposes.

Information may be processed by Shopify and service providers where this is necessary to provide the Services, process payments, operate the storefront, maintain security or prevent fraud.

We may also disclose information where required by law or where necessary to comply with a lawful request or legal obligation.

8. Accuracy of Profile Information

The information contained in an IDAnytime profile is provided by the customer.

You are responsible for ensuring that information you provide is accurate and kept up to date.

Where information needs to be changed, you can use the profile-change process described in this Privacy Policy.

9. Security

We take reasonable measures to protect personal information against unauthorised access, loss, misuse or disclosure.

You are also responsible for taking reasonable steps to protect access to your IDAnytime account, profile ID and assigned PIN.

No online service or electronic storage system can be guaranteed to be completely secure.

10. Data Retention

We retain personal information for as long as necessary to provide the Services and for the purposes described in this Privacy Policy.

Profile information is retained during the applicable licence period and through the expiry and deletion process described above.

Information may be retained for longer where necessary to comply with legal obligations, maintain financial or transaction records, resolve disputes, prevent fraud, or establish, exercise or defend legal claims.

11. Your Data Protection Rights

Subject to applicable law, you may have rights relating to your personal information, including rights to:

• Request access to personal information we hold about you.

• Request correction of inaccurate information.

• Request deletion of personal information where applicable.

• Request restriction of processing where applicable.

• Withdraw consent where processing is based on consent.

IDAnytime profiles may be created for children.
